- Job Responsibilities
The Procurement Administrative Specialist supports purchasing and procurement operations. Assists with purchase orders and related procurement duties. Processes requisitions, maintains records and travel-related transactions, and coordinates with vendors and internal departments, and ensures timely and accurate documentation of purchasing activities. Updates and creates forms as requested. Publishes new and updated documents and forms to the SCC website and staff portal as requested. Creates new vendor accounts in Colleague and updates vendor accounts as needed. Processes internal requisition after department approval, travel forms for SCC employees, and secures hotel reservations. Prepares other letters, notices and reports as directed. Acts as the department’s initial point of contact for staff, vendors, and other guests. Provides reception services for visiting staff and guests. Maintains a visitor's log. Intercepts and redirects public/student traffic. Provides vendors with instruction on how to do business with SCC. Provides SCC staff with general instructions on procurement processes. Provides administrative services for the procurement department. Monitors the general purchasing email mailbox. Resolves emails or refers to the appropriate person as needed. Directs end users to the appropriate forms and provides guidance on form completion. Retrieves and disperses mail and solicitation packages. Coordinates, schedules meetings and reserves conference rooms for procurement staff as needed. Assists the Procurement Director in scheduling events and training. Provides Paraprofessional administrative services for various procurement trainings. Prints and prepares training materials. Attends trainings to assist with material disbursement and collection, attendance, minutes, surveys, etc. Compiles necessary documents as requested for FOIA requests, audits, state quarterly reporting, scoring meetings, charging meetings, budget meetings, etc. Manages the procurement department's eTrieve database. Assists in improving recordkeeping and streamline internal procurement processes. - Minimum and Additional Requirements
A high school diploma or GED. - Preferred Qualifications
Related office, clerical, secretarial, and/or administrative assistance experience, and State procurement knowledge. - Additional Comments
Occasional night and/or weekend hours may be required for scheduled events.
